Last updated: June 2026. Elite Gladiators FC (“the club,” “we,” “us”) respects the privacy of our players and families. This policy explains what information we collect, why, how we protect it, and the choices you have.
Information we collect
When you register a player we collect the player’s name, date of birth, gender, address, and jersey preferences; parent or guardian and emergency contact names, phone numbers, and email addresses; medical information needed for safe participation (allergies, conditions, physician, and insurance details); and any organizations your player is registered with. We also record an electronic signature and consent for the medical release at the time of registration.
Proof of age (verify and delete)
Proof of age is the only document we ask you to upload, and it is used only to verify your player’s date of birth. Uploaded files are stored outside the public web root and are never shown publicly. Once our registrar confirms the date of birth, every uploaded document is permanently deleted from our systems and we keep only an audit record of who verified it and when. We do not retain birth certificates, passports, insurance cards, or other identity documents.
How we use your information
We use your information to process registrations and roster placement, verify age eligibility, communicate about teams and events, respond to emergencies, and meet the requirements of the leagues and governing bodies we participate in. We do not sell your personal information.
What is shown publicly
Public rosters and team pages show only a player’s first name, last initial, jersey number, and team. Dates of birth, contact details, medical information, and documents are never shown publicly. Coach-only performance statistics are not published.
How we protect your information
Club data is stored in a dedicated, access-controlled database. Sensitive records are limited to authorized staff by role. Uploaded files live outside the public web root and are reachable only through an authenticated request. The site is served over HTTPS.
Your choices and data requests
Parents and guardians with an account can review and update their player’s contact, medical, and emergency information at any time in the parent portal. You may also request a copy of your data, or request that we delete it, from the “Privacy and your data” section of the parent portal, or by contacting the club. We will respond by email. Note that we may need to keep limited records where a league or law requires it.
Children’s privacy
Our programs serve youth players, and registrations are submitted by a parent or legal guardian. We collect only the information needed to run the club safely and do not knowingly collect information directly from children.
